PracticeDoorbell

FAQ

If yours is not here, write and ask. Everything below is how it works today, not how it is meant to work eventually.

What it holds

Does this app collect client names and clinical information?

No. There is nowhere to put a name, a date of birth, a phone number, an insurance detail or anything clinical, and none of it is asked for or stored. A client enters your code and, if they want, their initials. That is everything the app holds about them.

Nothing about the visit is recorded either: no appointment type, no reason for the visit, no notes. What passes between the two phones is only that someone has arrived, is running late or cannot make it today, and your reply back. Arrivals delete themselves at the end of each day. The privacy policy sets all of this out in full.

The free month

How does the free month work?

There is no card at signup, so there is nothing to cancel and no accidental renewal. The counter is visible from the first day rather than appearing near the end.

Sign up and hand out a code

Your email and the name your clients should see. That is the whole of it, and you have a code to hand out about two minutes later.

Watch the counter

Every page shows how many days are left, from day one. Everything works exactly as it will after you subscribe.

Day thirty

If you have not subscribed, your clients' codes stop working and your own page shows a notice with a link to subscribe. Nothing is deleted the moment the trial ends.

Practices and groups

Can a practice pay for its clinicians?

Yes. A group can pay for any number of clinicians with one invoice, at the same $16 each. There is no volume tier and no minimum.

What the practice owner gets

  • One invoice for every clinician using the app
  • A roster showing who is on it and who is not

While we are in limited release, write to us with how many clinicians you would like to add.

If my practice pays for my seat, can they see who is waiting for me?

No. Paying for someone's seat buys them a doorbell. It does not buy a view of their waiting room, and that separation is enforced in the database rather than hidden in the screen.

What stays separate

  • Each clinician signs in with their own email
  • Each has their own code and their own clients
  • Nobody sees anyone else's arrivals, including the owner
  • Leaving the group does not cost a clinician their account

What it does and does not do

Can I ask for changes?

The most useful thing you can tell us is what your clients and you would actually want to tap. Right now that is arrived, on the way, and cannot make it, with acknowledge, running late, and reschedule coming back the other way. If a different wording or an extra option would fit your practice better, say so.

The same goes for everything around it. A suite shared with clinicians you do not work for, a video day, a hallway instead of a waiting room, a schedule that belongs to somebody else.

Requests from clinicians using it with real clients are what decide the next thing built. It stays deliberately narrow, so not everything gets added, but you will hear back either way rather than watching a suggestion disappear.

What does it record about my clients?

No clinical information is collected or sold. Clients can add initials, which the clinician can see on the clinician app. Arrivals are deleted at the end of each day on their own. The privacy policy sets all of this out in full.

Does my client need to install anything?

On Android they install PracticeDoorbell from Google Play and enter your code once. On iPhone there is no app yet, so they open the link in Safari, where it works the same way and can be added to their home screen.

Cost

Why does it cost less than check-in software?

Check-in software is built for a front desk with a queue and priced by location, starting around $29 a month and running to several hundred. For one clinician the location price is the whole price, and most of what it buys is a queue nobody in a solo practice is keeping.

Is this not the same as the messaging my software already has?

Not the same.

This app allows for instant messaging. No text. No voicemail. No email. No opening EHR software to see internal messages.

Your clients can quickly communicate their arrival and late arrival without disruption, and you can respond without interruption during a session.

Do my clients pay anything?

No. The client app is free. The $16 a month is paid by the clinician, taxes included. No additional fees associated with app use.
